The whole process took way less time then I expected. Went rather smoothly.

The entire process went smoothly and as easy as i was told .
This is not Nichole's fault. The breakdown of the process into depts allows the people in those isolated silos to not take responsibility for the process. Their communication with Nichole as "project manager" was likewise silo-ed. As a result, those depts were not providing accurate info on where they were at in the process to buy more time because they were overloaded. So you have a processing agent with the responsibility for getting it done but no real control over the process.
