Accounts Payable and Payroll Specialist

Highly organized, experienced, Payroll and Accounts Payable Specialist needed for a fast-growing high-tech startup. The ideal candidate for this position will have 3 + years working in payroll and accounts payable, preferably in the SaaS industry.

Primary Payroll Responsibilities:

  • Manage semi-monthly processing of payroll, including garnishments, benefits and taxes consistent with federal and state wage and labor laws
  • Ensure that the processing of new hires, transfers, promotions and terminations is accurate and timely
  • Employee insurance benefits
  • Critically review and analyze current payroll, benefits and tax procedures, recommend and implement changes leading to best-practice operations
  • Audit W-4s, payroll reports, YTD earnings, etc.
  • Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits and commissions
  • Manage regular preparation of relevant management reports, including monthly, quarterly and year-end reports
  • Ensure timely remittance of 401K deferrals, FSA, HSA and Commuter
  • Prepare monthly payroll, vacation accrual and bonus accrual and 401K match entries
  • Prepare monthly reconciliation of Payroll Accrual ,401k accrual, bonus and other benefit accruals
  • Maintain strict confidentiality in all aspects of the job
  • Assist with 401k audit, workers comp audit and financial audit

Primary Accounts Payable Responsibilities:

  • Review and verify invoices and check requests
  • Enter and upload invoices into system, set invoices up for payment
  • Set up electronic transfers and payments on bank website
  • Reconcile accounts payable to transactions and run reports
  • Research and resolve invoice discrepancies and issues
  • Correspond with Vendors and Purchasing and respond to inquiries
  • Process and approve employee expense reports submitted via Concur
  • Process and accrue Credit card expenses submitted via Concur
  • Prepare Monthly Accruals
  • Prepare monthly AP and Accrual account reconciliations
  • Assist with month-end closing
  • Assist with Financial audit

Qualifications and Skills

  • Minimum of High School Diploma college degree is plus
  • Minimum of 3 years payroll experience
  • Familiar with Quickbooks
  • Netsuite experience is plus
  • Concur experience is plus
  • Attention to detail
  • Strong time management skills with ability to prioritize tasks
  • Excellent written and verbal communication skills
  • Self-motivated
